Waveform Studio LLC ("Waveform," "we," "us") respects your privacy. This policy covers the information we collect through our website, proposal forms, and client tools, how we use it, and how you can control it. It applies to visitors, prospective clients, and clients of Waveform.

1. Information we collect

We collect information in three ways: what you give us directly, what your browser sends automatically, and what we receive from services we use to run the business.

Information you provide. Name, email, phone number, company, project details and budget range when you submit the contact form, reply to an email, or book a call.
Information collected automatically. IP address, browser type, device type, pages viewed, referring URL, and approximate location, gathered through standard server logs and analytics cookies.
Information from third parties. Basic company or role information from services like LinkedIn, when you interact with our page there, and payment confirmation details from our billing processor (we do not receive or store full card numbers).

2. How we use your information

To respond to inquiries and prepare project proposals.
To deliver, invoice, and support active client engagements.
To operate, secure, and improve this website.
To send occasional studio updates or case studies, only if you've opted in — every email includes an unsubscribe link.
To meet legal, tax, and accounting obligations.

3. Cookies & analytics

We use a small number of cookies: one essential cookie to remember your cookie preference, and analytics cookies (aggregate, non-invasive) to understand which pages are useful. We do not use third-party advertising trackers or sell browsing data. You can block cookies in your browser settings; the site will still function, though some preferences won't persist between visits.

4. How we share information

We don't sell personal information. We share it only with:

Service providers who help us operate — hosting, email delivery, invoicing, and analytics — bound by contract to use data only to provide that service.
Subcontractors on a client project, when specialist skills are needed, under the same confidentiality terms as our own team.
Legal authorities, only when required by law, subpoena, or to protect the rights and safety of Waveform or others.

5. Data retention

We keep inquiry and prospect data for up to 24 months if no project moves forward, then delete or anonymize it. Client project data is retained for the duration of the engagement plus 7 years, to meet standard contract and tax recordkeeping requirements, unless you request earlier deletion and no legal obligation prevents it.

6. Your rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to opt out of marketing email at any time. To exercise any of these rights, email privacy@waveform.studio — we respond within 30 days.

7. Security

We use industry-standard safeguards — encrypted connections (TLS), access controls, and least-privilege permissions on client data — to protect the information we hold. No system is perfectly secure, and we'll notify affected clients promptly in the unlikely event of a data breach involving their information.

8. Children's privacy

Waveform's services are intended for businesses and professionals. We do not knowingly collect information from anyone under 16.

9. Changes to this policy

We'll update the date at the top of this page whenever this policy changes, and note material changes on this page for 30 days.
